UX Summit Luxembourg is organised by ChemssLabs S.à r.l.-S, Luxembourg.

ChemssLabs S.à r.l.-S is the data controller responsible for the processing of personal data described in this Privacy Policy.

2. Personal Data We Collect

Depending on how you interact with UX Summit Luxembourg, we may collect:

  • your name;

  • email address;

  • job title and organisation, where provided;

  • information you provide when contacting or communicating with us;

  • newsletter and communication preferences;

  • information relating to speakers, prospective speakers, sponsors, partners and other professional contacts, where relevant; and

  • technical and website usage information, where applicable.

We do not currently collect payment information or process ticket purchases through this website.



3. Why We Use Your Personal Data and Our Legal Basis

We process personal data only where we have a lawful basis under applicable data protection law.

We may process your personal data:

  • to respond to enquiries and communications, based on our legitimate interest in communicating with people and organisations interested in UX Summit Luxembourg or, where applicable, to take steps at your request before entering into a contract;

  • to communicate with speakers, prospective speakers, sponsors, partners and other professional contacts, based on our legitimate interest in organising, developing and operating UX Summit Luxembourg;

  • to send newsletters and updates about UX Summit Luxembourg, where you have provided your consent;

  • to operate, maintain and secure our website, based on our legitimate interest in providing a secure and functional website; and

  • to understand how visitors use our website through non-essential analytics technologies, where you have provided your consent where required.

Where processing is based on consent, you may withdraw that consent at any time.

4. Email Communications and Newsletter

If you choose to subscribe to news and updates from UX Summit Luxembourg, we may use your email address to send you information about the Summit, including programme announcements, speaker announcements, partnerships, registration availability and future editions.

Our email and newsletter communications are managed using MailerLite.

Subscription to marketing communications is voluntary and is not required to access or use the UX Summit Luxembourg website.

You may unsubscribe at any time using the unsubscribe link included in our marketing emails.

Withdrawing your consent does not affect the lawfulness of processing carried out before your consent was withdrawn.

5. Service Providers

We use selected third-party service providers to operate our website, manage communications and understand website usage.

These currently include:

  • Framer - website hosting, website functionality and Framer Analytics;

  • MailerLite - newsletter and email communications; and

  • Google Analytics 4 - website analytics, subject to your consent where required.

These service providers may process personal data on our behalf in accordance with their respective roles, contractual arrangements and applicable data protection requirements.

We may also disclose personal data where required by law or where necessary for the establishment, exercise or defence of legal claims.

We do not sell your personal data.

We do not currently use advertising or remarketing pixels on the UX Summit Luxembourg website.

6. International Data Transfers

Some of our service providers or their subprocessors may process personal data outside the European Economic Area (EEA).

Where personal data is transferred outside the EEA, appropriate safeguards are used as required by applicable data protection law. Depending on the provider and destination, these safeguards may include an adequacy decision adopted by the European Commission or approved Standard Contractual Clauses.

7. How Long We Keep Your Personal Data

  • enquiry and correspondence data is generally retained for up to 24 months after our last substantive interaction, unless there is an ongoing relationship or a legal reason requiring longer retention;

  • information relating to speakers, prospective speakers, sponsors, partners and other professional contacts may be retained for up to 36 months after our last substantive interaction, unless an ongoing relationship or legal obligation justifies longer retention;

  • newsletter and marketing contact information is retained until you unsubscribe or withdraw your consent. We may retain limited information necessary to record your opt-out and ensure that you do not receive further marketing communications; and

  • analytics information is retained in accordance with the retention settings configured for the relevant analytics service.

When personal data is no longer required, it is deleted or anonymised as appropriate.

8. Website Analytics and Cookies

Our website is built and hosted using Framer.

We use Framer Analytics to obtain aggregated information about website usage. Framer Analytics does not use analytics cookies or persistent visitor identifiers.

We also use Google Analytics 4 (GA4) to help us understand how visitors interact with the website.

Google Analytics is a non-essential analytics service and is activated only after you have provided consent through our cookie preference mechanism.

You can accept or reject non-essential analytics technologies and change your preferences through the cookie settings available on our website.

Technologies that are strictly necessary for the operation, functionality or security of the website may be used without consent where permitted by applicable law.

We currently do not use advertising or remarketing pixels.

9. Providing Your Personal Data

Providing personal data through our contact forms or newsletter subscription is voluntary.

However, if you contact us, certain information, such as your email address, may be necessary for us to respond to your request.
